LIF is seeking a permanent full-time Executive Assistant. This role provides superior interpersonal, organizational and time management support to the Chief Operating Officer. The position also assists the Director, Risk Management, the Director, Claims Management, and the Director, Underwriting & Claims, as needed. The Executive Assistant must be an accomplished problem–solver who can handle highly confidential and time sensitive material while juggling multiple and changing priorities.
The duties of the position include:
- Preparing detailed and lengthy application to secure the Law Society’s D & O insurance ($6 million), exercising judgment as to who to contact to identify all of the Law Society’s possible risks and ensuring the policy wording reflects the terms negotiated.
- Managing the processes for the optional insurance policy application and renewal, identifying any new risks presented, and the insurance surcharges, and dealing directly with lawyers on any issues or disputes arising.
- Ensuring smooth and efficient departmental operations by overseeing operations relating to support staff and managing implementation of new operational processes.
- Developing and maintaining relationships with senior executives at other insurance programs, and communicating with excess and other insurers, outside representatives as well as internal Law Society departments after determining how best to respond or gather information.
- Managing quality control in the claims handling process, including working with IT to develop database reports and maintaining spreadsheets to track key claims management functions. Sorting and compiling data and creating graphs and charts for PowerPoint presentations and risk management activities, and taking minutes for departmental meetings.
- Handling smaller malpractice claims against lawyers, and dealing directly with covered lawyers for updates and status reports.
- Organizing departmental events and functions such as audits, seminars with external counsel and retreats, and attending to travel logistics for management.
- Dealing independently with outside requests for information from lawyers and the public about the indemnity program and potential theft claims, and with routine inquiries from lawyers on coverage matters and telephone reports of claims.
- Coordinating the processes for interviewing applicants for staff positions, including administering personality tests to Claims Counsel candidates, training new staff and ensuring logistical requirements are met.
- Such other duties as the Chief Operating Officer may require.
Qualifications:
- A post-secondary diploma or degree in a relevant discipline.
- A minimum of five years of experience in a senior assistant role reporting to an Executive, as well as experience in the insurance industry or a law office, with insurance industry experience preferred.
- Training and experience in Word, Excel and PowerPoint, and familiarity with database structure.
- A self-starter with the ability to work independently, take initiative and exercise sound judgment.
- Excellent organizational, time-management and oral and written communication skills, and attention to detail.
- Exceptional interpersonal skills to work effectively with all levels of staff and management, both within and outside the organization.
