The Law Society of BC is seeking a permanent, full-time, Executive Assistant, Chief Legal Officer (CLO) in our Professional Regulation department. The Executive Assistant to the CLO is expected to provide superior interpersonal, organizational and time management skills and support to the CLO. The position is integral to the CLO’s ability to oversee regulatory groups within the Law Society including Intake & Early Resolution; Investigations, Monitoring & Enforcement; Discipline; Practice Standards; Custodianships & Unauthorized Practice; Alternative Dispute Resolution and the Administrative Penalty Program
The Executive Assistant must exercise proven strengths in initiative, discretion, professionalism and judgment in carrying out the position’s functions and adding value to the organization.
The duties of the position include:
- Managing office processes and information flow on behalf of the CLO by screening and prioritizing incoming requests, email, mail and telephone calls, flagging priority and urgent matters and directing routine matters to other staff.
- Maintaining an interactive calendar system for the CLO, liaising with department managers and other Law Society staff to schedule meetings and conference calls.
- Anticipating information needs of the CLO and compiling information packages for meetings, conferences, appointments, etc.
- Coordinating and prioritizing meetings with lawyers in our community, regulatory bodies and other key stakeholders.
- Assisting in the preparation of presentations, including for Benchers or external stakeholders.
- Drafting routine correspondence for the CLO’s review and signature based on careful review of documents, information and notes provided.
- Coordination with external counsel retained by the CLO, including drafting of retainer letters, preparing packages of documents, processing invoices and assisting with budgeting.
- Managing daily administrative functions of the CLO’s offices.
- Booking travel, conferences and professional regulation social activities on behalf of the CLO.
- Assisting the CLO in processing responses to s. 87 requests.
- Assisting with the preparation of budgets for the CLO office and processing invoices.
- Assisting the Professional Regulation staff lawyer with research as required.
- Providing back up to the Professional Regulation Officer as required.
- Such other duties that the Chief Legal Officer may require.
Qualifications
- The nature of the role requires a high degree of professionalism and discretion with highly sensitive information, superior proactive and organizational skills, attention to detail, and sound judgment.
- A post-secondary diploma or degree in a relevant discipline and at least five years of progressively more responsible and administrative experience in complex organizations.
- Must have excellent oral and written communication skills and be proficient and effective in the use of information technology.
- Experience in Professional Regulation an asset.
- 1-2 years of law office experience.
The salary range for this position is $77,543 to $84,286.
