Program Assistant, PLTC (5-Month Term)

Our Professional Legal Training Course (PLTC) department is seeking a temporary, full-time Program Assistant for a 5-month term (with a possibility of an extension). Reporting to the Deputy Director, PLTC and working closely with the Senior Coordinator, the Program Assistant provides administrative support on all aspects of the program. This position also entails a considerable amount of communication with students.

The duties of this position include:
  • Respond to queries from current and future students about PLTC
  • Process and manage student applications and academic accommodation requests 
  • Create and maintain student files; maintain the student information database on LSIS 
  • Set administrative and student schedules for the three PLTC sessions each year
  • Administer the online learning management system (Brightspace and PLTC Student Portal) and online exam environment (ExamSoft)  
  • Schedule assessors and markers 
  • Arrange for students to review failed material and process Review Submissions 
  • Assemble and distribute packages for Faculty, markers, and the review process 
  • Handle fees payable to PLTC, external invoices, and refunds 
  • Provide general technical and administrative support to the Deputy Director, Senior Coordinator, Publications team, Faculty, and Contract Instructors and Markers
  • Look for more efficient ways to handle PLTC workflows and improve technology use
  • Work collaboratively with other departments at the Law Society
  • Such other duties as the Deputy Director may require
Qualifications:
  • Post-secondary degree.
  • Superb writing skills; comfortable writing and speaking with colleagues and students from a wide range of backgrounds.
  • Advanced proficiency in Microsoft Excel; good proficiency in Word, Outlook, and Adobe PDF.
  • Experience in document management – maintaining accurate, accessible records across multiple systems.
  • Able to independently and reliably manage multiple responsibilities with exceptional attention to detail.
  • Demonstrated ability to be proactive, practical, and kind in the face of change and workflow obstacles. 
The salary range for this position is $59,610 to $64,794.
