Program Assistant, PLTC (15-Month Term)

Our Professional Legal Training Course (PLTC) department is seeking a temporary, full-time Program Assistant for a 15-month term. The Program Assistant provides administrative support to the Director, Senior Coordinator and the faculty of the Professional Legal Training Course. This position also entails a considerable amount of communication with students.

The duties of this position include:

  • Communicates with students and law firm staff to provide information regarding PLTC. This task including monitoring multiple PLTC inboxes, generating bulk emails and posting announcements for hundreds of students.
  • Processes and manages student accommodation requests and forms (including establishing and maintaining a database).
  • Creates, updates and manages electronic and physical student files.
  • Creates administrative and student schedules, for all sessions during each year.
  • Updates and maintains the student information database (applications for registration, contact information and PLTC results).
  • Administers the online learning management systems (ExamSoft, Brightspace and PLTC Student Portal).
  • Provides technical and administrative support to PLTC students, the Director, the Senior Coordinator and the faculty (i.e. Zoom, Brightspace, ExamSoft and Microsoft Suite)
  • Prepares all submitted written assessments and exams for marking and creates marking materials for the assessors.
  • Invigilates and administers exams.
  • Takes minutes of staff and faculty meetings.
  • Drafts and format letters and correspondence.
  • Maintaining multiple bring forward or tracking systems for submissions and sign-ups
  • Occasionally acts as a client for interviewing assessments.
  • Processes and track payments for various PLTC fees.
  • Works collaboratively with the Senior Coordinator.
  • Such other duties as the Deputy Director, PLTC may require.

Qualifications

  • Undergraduate degree (preferably) or college degree.
  • Three to five years of related experience in education administration, law administration and/or customer service.
  • Highly organized, detail-oriented, with strong time management skills and demonstrated experience working with time-sensitive tasks.
  • Superb professional written and oral communication skills.
  • Advanced English skills with written skills at a formal university level.
  • Highly responsive, flexible and able to perform with regular interruptions.
  • Expertise in Microsoft office software, specifically Excel, is an asset.
  • Technically savvy and able to quickly understand multiple online systems, platforms and programs.
  • Demonstrated skill and ability to effectively prioritize, exercise independent judgement, and work autonomously and in a team environment.

The salary range for this position is $57,721 to $62,740.
