The Law Society is seeking a permanent, full-time Clerk/Assistant in our Custodianships and Unauthorized Practice departments.

The Clerk, Custodianships is responsible for: the organization and timely processing of the files of legal practices subject to custodianship orders; meticulously recording client and transactional information from each file as required by the Records Tracking System; and, occasionally providing backup to the Custodianship Data Supervisor in responding to requests for locating and requesting custodial files from storage. 

In the Unauthorized Practice department, the Assistant will provide administrative support to the Unauthorized Practice program staff lawyer and paralegal and to the Unauthorized Practice Committee.

The duties of the position include:        
Custodianships (50%)
  • Copying files and preparing documentation necessary for release of files.
  • Sorting and identifying active and completed client files, accounting files and administrative files in order to determine the appropriate retention period, as guided by the Records Tracking System (“RTS”).
  • Occasionally attending at a lawyers’ offices to assist the Custodianships team in taking possession of practice material.
  • Processing legal and administrative files for long-term storage in RTS; assisting the custodian in locating files throughout the course of the custodianship and after discharge.
  • Sorting, separating, and entering files into RTS where retention periods have expired and as ephemera (collateral to client and law office records) for immediate destruction on approval of custodian.
  • Reconstruct files that have been improperly maintained by filing all loose material, opening new folders where necessary and accurately identifying all related material in order to ensure effective retrieval from storage in the event the file is requested by the custodian, LSBC staff, members, former clients and/or their solicitor.
  • Assisting on special projects such as preparation and updating of spreadsheets for the management of distribution of documents to clients.
  • Such other duties as the Director, Custodianships and UAP may require.
Unauthorized Practice (50%)
  • Providing administrative support to the staff lawyer and paralegal on case files, from commencement of investigation through to conclusion of court proceeding, including conducting investigative searches, preparing letters, memos to file and legal documents, organizing and maintaining all unauthorized practice active files and court materials.
  • Maintaining and updating inquiries and all active files in Word, Law Society database and document management program.
  • Providing administrative support to the Director, Custodianships and UAP as required. Set hearing dates and file court materials for various court proceedings.
  • Maintaining the Unauthorized Practice file library and file statistics.
  • Processing invoices received from external counsel, investigators and process servers, and liaising with the finance department regarding payment of invoices and expenses.
  • Prepare accounting and cost-tracking documents.
  • Such other duties as assigned or required by the Director, Custodianships and UAP.
Qualifications
  • Successful completion of a recognized legal assistant program and 1-2 years of law office experience. 
  • Experience and knowledge in Microsoft Office and online search platforms. 
  • Must be able to lift up to 40 pounds. 
  • Excellent oral and written skills; well-developed time management and analytical skills; and must be able to work in a team environment.
The salary range for this position is $57,499 to $62,499.
