The Law Society of BC is seeking a permanent, full-time Executive Assistant, Chief Financial Officer and Senior Director, Trust Regulation. The Executive Assistant assists one of the senior leadership team members at the Law Society. The EA is expected to exercise proven strengths in initiative, discretion and judgement in carrying out the position’s functions and adding value to the organization.

The Executive Assistant must be an accomplished problem-solver who can handle confidential and time sensitive material while juggling multiple and changing priorities.

The duties of the position include:

Corporate Services

  • Managing office processes and information flow of the CFO Office and Corporate Services by screening and prioritizing incoming requests, email, mail and telephone calls, flagging priority and urgent matters and directing routine matters to other staff.
  • Managing the CFO calendar through careful planning, communication and coordination to maximize time management and ensuring all deadlines are met. Setting committee / subcommittee, annual budget, quarterly external counsel, and property management meetings, and coordination of agendas.
  • Organizing and distributing agendas and materials for the Finance and Audit Committee and Indemnity Subcommittee, and preparing minutes. Preparing agenda items for the Executive Committee and Bencher meetings.
  • Anticipating information needs and compiling information packages for meetings, conferences, appointments, and managing daily administrative functions of the CFO Office.
  • Developing and maintaining the legal contract and record management system for the Corporate Services, Property Management and Financial departments, and the filing of soft and hard copies of relevant documentation.
  • Producing, administering and coordinating legal document preparation, including project and service contracts, banking contracts and other required documentation.
  • Drafting, proofreading, editing and formatting various forms of draft correspondence.

Finance and Properties/Facilities Departments

  • Coordinating and assisting in the preparation of the annual Operational Budgets, and related tasks.
  • Accounting for the Law Society capital assets and capital budgets, including all documents, financial information and inventory reconciliations.
  • Preparing and coordinating the Property, Commercial & General Liability, Crime, Cyber, and event insurance policy renewals.
  • Preparing and coordinating the annual Law Society Enterprise Risk Management plan.
  • Assisting with administration and coordination for Law Society corporate/property asset management responsibilities.
  • As time permits, assisting the Finance department with accounts payable, accounts receivable and general accounting tasks.
  • Back up for property/leasing/capital project document control, liaison and communication for day-to-day project management issues, liaising with property management firms and other contractors where required, ensuring project schedules are maintained and on-time, and building parkade management.
  • Organizing team events.
  • Such other duties as required.

Qualifications

  • The nature of the work requires superior proactive and organizational skills, attention to detail, numerical skills and sound judgement.
  • A post-secondary diploma or degree in a relevant discipline, preferably in Business or Finance, and at least five years of progressively more responsible administrative experience in complex organizations.
  • Experience working directly with a senior financial manager in a large organization or public practice CPA firm.
  • Experience in a finance department, legal and/or contract environment, or property/lease/asset management office would be an asset.
  • Must have excellent oral and written communication skills and be proficient and effective in the use of information technology (particularly in Word, Excel, PowerPoint, and Adobe Acrobat).

The salary range for this position is $75,146 - $81,680.
