The Law Society of BC is seeking a permanent, full-time, Executive Assistant in our Credentials, Professional Develop and Practice Support department. The Executive Assistant provides effective and efficient administrative support to the Senior Director, Credentials, Professional Development and Practice Support at the Law Society. This person is expected to exercise proven strengths in initiative, discretion, and judgement in carrying out the position’s functions and adding value to the organization.

The Executive Assistant must be an accomplished problem-solver who can handle confidential and time sensitive material while juggling multiple and changing priorities.

The duties of the position include:              

  • Managing office processes and information flow on behalf of the Senior Director by screening and prioritizing incoming requests, emails, mail, telephone calls, and flagging priority and urgent matters, and directing routine matters to other staff.
  • Managing and tracking a system of action items and bring forwards on behalf of the Senior Director, including ensuring deadlines are met/altered and following up regularly regarding status and updates.
  • Drafting, proofreading, editing, and formatting various forms of complex correspondence, including letters and memorandums, utilizing a precedent based document system and carefully reviewing documents, information, and notes provided. Drafting responsibilities require in depth working knowledge of applicable legislation, Law Society Rules, and internal policies and procedures.
  • Conducting research, both general and legal, utilizing internal and external databases.
  • Providing committee and meeting support by compiling and distributing agendas and materials, taking minutes, and scheduling meetings, as necessary.
  • Managing the Senior Director’s calendars through careful planning, communication, and coordination to maximize time management and ensure all deadlines are met.
  • Anticipating information needs and compiling information packages for meetings, conferences, appointments, etc.
  • Producing, administering and coordinating legal document preparation, including project and service contracts, and other required documentation.
  • Administering and reconciling external invoicing, including for external counsel matters.
  • Assisting with the administration of the Innovation Sandbox and related data tracking, as required.
  • Assisting with travel arrangements for speaking engagements, conferences, public and key stakeholder consultation events, etc. for the Senior Director.
  • Preparing presentations when required.
  • Administering expense claims.
  • Providing occasional administrative support to the Director, Professional Development when required.
  • Such other duties as assigned or required by the Senior Director.

Qualifications

  • The nature of the Executive Assistant work requires superior and proactive critical thinking, analytical, and organizational skills.
  • A keen attention to detail, accuracy, and sound judgement are essential to success in this role.
  • A post-secondary diploma or degree in a relevant discipline and at least five years of demonstrated success in a similar administrative role is required.
  • Experience in a complex organization working directly with senior management is preferred.
  • Must have excellent oral and written communication skills, and strong interpersonal skills.
  • Must be proficient and effective in the use of information technology (particularly in Word, Excel, PowerPoint, as well as Zoom and Adobe Acrobat).
  • Work experience in a legal environment, knowledge of legal terminology and research, and experience with document management systems would be considered an asset.

The salary range for this position is $75,146 to $81,680.
